Introduction
TradeTrack ("we," "our," or "us") provides construction project and business management software for contractors, home builders, and trade businesses. This Privacy Policy explains what information we collect, how we use it, when we share it with service providers, and the choices available to you.
Who we are
TradeTrack is a hosted software platform available at tradetrack.biz and related product routes. If you have privacy questions, data access requests, or deletion requests, you can contact us at support@tradetrack.biz.
What data we collect
We collect information you provide directly, information created through your use of the platform, and limited technical information about how the website performs.
- Account data such as email address, password, and selected plan
- Profile and workspace data such as full name, company name, branding, logo, address, and optional business details
- Project data such as schedules, tasks, dates, status, templates, and assignments
- Crew member data entered by workspace owners, including names, contact information, labor rates, assignments, and time-entry history
- Time tracking data such as clock-in and clock-out times, breaks, corrections, and edit history
- GPS location data at clock-in or clock-out only when geofencing is enabled by a workspace owner
- Estimate data such as client names, client email addresses, sections, line items, pricing, markup, attachments, and activity history
- Purchase order data such as vendor names, contacts, dates, line items, receiving records, and committed spend
- Document and portal data such as contracts, proposals, scope of work documents, change orders, acknowledgements, approvals, rejections, timestamps, and recipient-entered names
- Subcontractor data such as company names, contacts, trade information, insurance expiry dates, certificates, and uploaded files
- Client portal recipient information such as client names, email addresses, welcome messages, and portal access settings
- Daily log content such as workers, work items, materials, issues, weather context, notes, voice memo URLs, and uploaded photos or documents
- Support form submissions, including name, email address, subject, and message content
- B.O.B. waitlist submissions, which currently collect email address only
- Website analytics data from Vercel Analytics, including page views, referrer, Web Vitals, device type, browser or operating system, and country or region derived from IP
How we use your data
We use personal data to operate, secure, and improve the Service, including to:
- Create and maintain user accounts and sessions
- Provide project scheduling, crew management, estimating, purchase orders, cost tracking, documents, daily logs, and related platform features
- Process billing, subscriptions, and account administration
- Send transactional communications, login-related emails, support responses, and platform notifications
- Generate portal links and show project information to recipients selected by workspace owners
- Verify job-site attendance where geofencing is enabled
- Protect the platform against abuse, fraud, unauthorized access, and excessive automated requests
- Measure website performance and usage trends using privacy-respecting analytics
- Respond to support requests and maintain service reliability
- Notify users who explicitly joined the B.O.B. waitlist when that feature is ready
Lawful basis for processing
Where GDPR or similar laws apply, we process personal data under one or more of the following lawful bases:
- Contract: processing needed to provide the TradeTrack service to subscribers and authorized users
- Legitimate interests: service security, rate limiting, abuse prevention, operational analytics, product improvement, and support
- Consent: communications or waitlist requests you choose to submit to us
- Legal obligation: retention or disclosure required by applicable law, regulation, or legal process
Geofencing and location data
If a workspace administrator enables geofencing, GPS location may be recorded when crew members clock in or clock out. This feature is controlled by the workspace owner and is not enabled by default for every workspace. Location data is used to verify job-site attendance, geofence exceptions, and related operational workflows. If you are a crew member and have questions about how location data is used, you should also contact the business that invited or manages you in TradeTrack.
Third-party services
We use third-party processors and infrastructure providers to operate the Service:
- Supabase for authentication, database storage, and file storage
- Stripe for payment processing, billing, and subscription management
- Resend for support and outbound email delivery where enabled
- Vercel for hosting and Vercel Analytics
- Google Maps and geocoding services for project and geofence location lookups
- Open-Meteo for weather data used in daily log workflows
- Upstash Redis for rate limiting and abuse protection
These providers process data under their own privacy policies and contractual terms.
Document acknowledgements
TradeTrack allows project documents such as contracts, proposals, and change orders to be shared through secure links. Recipients may acknowledge, approve, or reject those documents, and those actions may be logged with names, timestamps, and related context. TradeTrack does not represent that these actions are legally certified electronic signatures, and users relying on them for legal enforcement should consult their own legal counsel.
Data retention
TradeTrack is still formalizing a full retention schedule. Until that work is finalized, our current operating intent is to retain data only as long as needed to provide the Service, maintain records, resolve disputes, and meet legal or contractual obligations.
- Account data: generally retained until account deletion
- Deleted project data: intended for removal after a limited retention window
- Photos and documents: intended for removal when no longer needed for the associated account or workspace
- Time-entry records: may be retained longer for payroll, audit, or recordkeeping needs
- Support messages: retained for support, troubleshooting, and service history purposes
We may update this section once a formal retention policy is approved.
Your rights
Depending on your jurisdiction, you may have rights to:
- Request access to a copy of your personal data
- Correct inaccurate or incomplete information
- Request deletion of your account or personal data
- Object to or restrict certain processing
- Request a copy of your data in a portable format where applicable
- Lodge a complaint with a supervisory authority if you are in the EU or UK
Some of these rights can be exercised directly in the platform. For example, account owners can update profile details and request account deletion from the account area. A self-service data export tool is not currently available. To request a copy of your data, contact support@tradetrack.biz.
Children
TradeTrack is a business software platform intended for users 18 years of age and older. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected such data, contact support@tradetrack.biz.
Do Not Sell
TradeTrack does not sell personal information to third parties. We do not share personal information with advertisers or data brokers for cross-context behavioral advertising.
Security
We use reasonable technical and organizational safeguards to protect personal data, including access controls, authentication, hosted infrastructure security, and encrypted transmission where appropriate. No system can be guaranteed to be completely secure, so you should also use strong passwords and protect access to your devices and accounts.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and revise the last updated date above.
